Vacancy Submission Guidance
We have created some guidance to assist you in using the form. The points below are in order of category as it appears on the form and we have picked up on things that have been raised so far as enquiries:
DfES field: If you are a Hampshire school you type in your DfES number into the relevant box on the form and this then automatically enters all other school contact information apart from the email address. This saves you time in that you do not have to enter this information in each time you place an advert. It also saves you having to enter this information into the body of the text because it will automatically appear in the advert.
School Email address: This is a field that you do not have to enter as not every school is on email however, if you would like the email to show in the advert then tick that option and it will automatically appear in the vacancy.
Vacancy details: The first question you are asked is would you like an Enhanced Vacancy service for this particular advert? If yes you need to tick the box, if no leave it blank. An enhanced advert is a chargeable service at £100 the benefits of which are as follows:
- Saves schools’ time as job description, person specification and details are already available to applicants;
- School individuality – use of school logo, photos and colours;
- Encourages best practice;
- Attracts genuine applicants as details online;
- Helps applicant make an informed decision about the post advertised.
Post title to display: This can be whatever you want within reason i.e. “Part Time Maths Teacher” rather than just “Maths Teacher”.
Start Date: If this is not known it cannot be left as is. “Start date not known” needs to be ticked. It must also state today’s date if the above is ticked, otherwise a red error box will appear. The start date is the day the post is due to commence, not the publication date of the Advert.
Vacancy details: This is your text box which is to contain the main body of your advert. You should NOT to include the following as you will have already completed this seperately:
- Job title,
- School contact information,
- Safer Recruitment message (As this is an option for you to tick rather than write out)
- Closing date.
However, interview date is sometimes more than one date therefore you may wish to tick “interview date not known” and then stipulate in the body of the text when interviews will take place.
The Safer Recruitment Statement needs to be ticked if you would like this to appear in the standard place on the advert. We do strongly recommend that schools make use of this as it indicates to all applicants that the school holds the safety of all children in the utmost importance.
The Comments box is for schools to send EPS any kind of relevant message in relation to that vacancy. E.g. “Please do not make this advert live until 31st January”. This will NOT appear on your advert.
Things to look out for:
As with all new systems there has been a period of “tweaking” from an IT point of view with the vacancy submission form therefore there are a couple of things currently to look out for:
When trying to submit a vacancy an error message may tell you that you have not filled out certain information. If you scroll up the page look out for Red Error Message boxes and they will be by the category that you need to fill in.
Occasionally you may type the text into the vacancy details text box and go to submit the advert and a message may appear saying that you have not filled in the box. Go back to the vacancy details text box and place your cursor anywhere within the text of the advert and press your spacebar once. Then scroll down and submit the vacancy again and this should clear the glitch.
