Policy and Resources One-off Grant - application notes

For those applying for a Voluntary Organisation and Other Bodies Grant:

Organisation details (Questions 2-6)

Organisational name – please state the name of the organisation who will have responsibility for accounting for the grant.

Your project/activity (Questions 7-10)

Question 8b Details of the project/activity and what the funding will pay for

Please use this section to tell us about the activities you intend to provide. Please also tell us about any improvements you will be able to make to your service if you receive this funding.

If your request is for building works, please state whether all the necessary approvals are in place and that permission has been granted from the owners of the building.

Finance (Questions 11-15)

Question 12 Detail of costs

Please provide a breakdown of all costs of activity/project. Organisations are expected to obtain three formal quotes and attach an electronic copy from your chosen one with at the “documentation” section. If you only have a paper copy please write this in the documentation section and send a paper copy in.

Question 14a Project/service finance summary

Please note 100% grants are not usually awarded as we would expect organisations to obtain the majority of funding from other sources, including district/borough/parish councils, and contribute some of their own funds to their project. As a general rule grants in excess of £5,000 will not usually be awarded.

General Information (Questions 16-20)

Question 20 Equalities

Please answer all three parts as best you can. We are not looking for comprehensive policies – just some bullet points, for example: thorough training; information sessions, staff guidebook etc. In addition to information about your policies and procedures please outline how the aims of your project will contribute towards a, b, and c.

Examples of things which may be relevant to include are:

  • We have an equality and diversity policy. We ensure our staff receive equalities and diversity training. We actively encourage and support all sectors of the community including those having protected characteristics to take part in this project.
  • We have an open and transparent recruitment and promotion policy.
  • The organisation’s culture fully embraces diversity.
  • Our constitution/ this project focuses on fostering good community relations across all sectors of society by...

Documentation to be submitted

You only need to send same document once over 12 month period. If you have sent us your documents in the last 12 months please tell us the grant reference number to which they were attached if possible. We would appreciate electronic document attachments. If, however, you only have a paper copy please write this in the documentation section and send a paper copy in.

For all grants relating to building works or other capital grants please attach copies of the preferred quote (from the three obtained).

If you are applying for a grant over £5,000 please send in the following documents:

  • Annual accounts
  • Adults safeguarding policy
  • Child Protection Policy

If, by exception, you are applying for a grant of over £25,000 please send in the following documents:

  • Annual accounts
  • Adults safeguarding policy
  • Child Protection Policy
  • Equal Opportunities Policy
  • Health & Safety Policy
  • Public Liability Insurance
  • Employers Liability Insurance
  • Vehicle Insurance (if relevant)

Monitoring Information

This information will help us to plan and fund areas of work where there are significant gaps and needs. If you need to collect this information from your staff or service users then it is important that you give them a choice as to whether they choose to give this personal information.
