Standard formats
There are standard formats for all corporate stationery. Staff can print a selection of stationery from their desktop by using the corporate templates for:
letters
memos
fax cover sheets
agenda
minutes
reports.

Your stationery must include the name of your department in the address. It may also include the name of your particular service, team or unit if necessary.
As well as including a telephone number, fax number and a Hantsweb address, you must include our textphone number, 0808 100 2484, on all your stationery. Your email address must be added after the prompt on letters and pre-printed on business cards. If necessary, other contact details may be added to the corporate stationery layout at the discretion of the departmental management team.
Members’ stationery
The Leader and Chairman of the County Council incorporate the coat of arms on their letterheads and compliments slips.
Other members include the corporate logo on their stationery and follow the standard layouts.
Letterheads
Letterheads carry the name and job title of your department’s chief officer in the bottom right corner. In some cases your departmental management team may also want to include the name and job title of your service, team or unit head to improve accountability and clarity for the customer. If so. it will be positioned just above the name of your chief officer.
Your department or section may need to add accreditation logos to its letterhead, eg Investors in People or Charter Mark. These must be placed at the bottom of the left-hand margin with the most significant award in the lowest position. A list of approved accreditation logos that can be included and the order in which they must be placed is held by the Corporate Communications team.
Compliments slips

Compliments slips must have the logo in the top right corner, with the department name, address, telephone and fax details lined up underneath.
Business cards
Business cards must measure 90 x 55 mm and include the logo in the top left corner. Departmental and personal details must be lined up underneath, with the person's name and job title at the bottom.
Printed forms
Each time you have a new form created or an existing one redesigned, position the main logo either in the bottom left corner, reversed out within the band, or along the top of the form in the same location as our letterhead.

Memos
Internal memos are black and white, and are A4 size. They include contact details in a different format to letterhead stationery.
Fax cover sheets
Like the memo layout, fax cover sheets do not include the contact details immediately underneath the logo.
Services with marketing identities
Letterheads and other similar stationery may be designed to give prominence to the marketing identity but must use the logo in the bottom left corner. Where feasible the Hampshire County Council logo should be included on business cards where they are designed to reflect the unit or service's marketing identity.
New designs for marketing identities and how they work alongside the County Council’s logo must be developed in conjunction with Corporate Communications before they are applied to any publicity material. See the marketing identities web page for further information.
