Getting copies of birth, marriage and death certificates

We can only supply copies of birth, death, marriage or civil partnership certificates for events which have occurred since July 1837 in Hampshire (not including Southampton and Portsmouth).

Need a copy certificate in a hurry?

Use our “Priority Service” for urgently required certificates. We will search our records for your certificate within 24 hours of receiving your order (Monday to Friday).
Search fee £13.

There are two ways to receive the certificate

By 1st class post

The certificate will be posted after 24 hours. We cannot guarantee delivery times as this depends on the postal service.
Total cost £23.

Collect from the Certificate Processing Centre at Hampshire Record Office

Your certificate will be ready for collection after 24 hours (Monday to Friday), Certificates ordered on a Friday will not be available until the following Monday.
Total cost £23.

If for any reason the certificate cannot be issued, the cost of the certificate (£10) will be refunded, however the search fee of £13 is non-refundable as it for the search regardless of the result of that search.

Turnaround also depends on you providing sufficient information for us to find the certificate.

For births you need to provide

  • full name and surname at birth of the person whose certificate is required
  • date and place of birth – name of hospital (if known) and town or village
  • names and surnames of their parents, including the mother’s maiden name if known

If a birth was registered by declaration (in an office outside Hampshire) the register entry will be held where the birth occurred and copy certificates obtained from that office e.g. a copy certificate for a birth that occurred in Portsmouth but was registered in Fareham would need to be obtained from Portsmouth Register Office.

We are unable to search for a period of more than 3 years. If you do not know the exact year of the birth, please enter the most likely year/s on the application form.

  • the full name of the deceased at the time of the death and whether the deceased had been known by any other name.
  • date and place of the death

  • the exact name of the Registration Office, church or other building where the marriage took place
  • the date of the marriage
  • the full names of at least the Bride or the Groom at the time of the marriage
  • the names of the witnesses (if known)

For civil partnerships you need to provide

  • the exact name of the Register Office or other building where the civil partnership took place
  • date of the civil partnership
  • full names of both parties at the time of the civil partnership
  • names of the witnesses if known

There are two types of certificates - An extract certificate does not show the addresses of either party. The standard copy gives full details.

To apply for a standard certificate, you will also need to provide the addresses of both parties at the time of the formation of the civil partnership.

If you are adopted

Your adoptive certificate is the one needed for legal purposes. This can be obtained from Records of adoptions in England and Wales.

A copy of your birth certificate can be applied for if you know your place of birth and the name of your birth mother.
