The 'Tell Us Once' service

The ‘Tell Us Once’ service is offered at the time of all death registration appointments in Hampshire. The information taken as part of the Tell Us Once service is passed to the people who need to be informed when someone dies.

You can make an appointment to register a death at any of our Registration Offices, tel 0845 603 5637 call charges. Phone lines open Monday to Friday 8am - 8pm, Saturday 9.30am - 4pm.

Once the death has been registered, there are a number of ways you can use the service

  • In person – at the end of your registration appointment, the registrar will ask you if you would like to use the Tell Us Once service.
  • By telephone – once you have registered the death you can speak to a Tell Us Once advisor by phoning the Department for Work and Pensions (DWP), tel 0800 085 7308.
    Lines are open Monday to Friday between 8am and 8pm. (The number is free to call from a BT landline, but other providers, including mobile phone providers, may charge you.) If you don’t speak English, call the DWP tel 0800 085 7308 and an advisor and interpreter will call you back and help you. You will need the unique reference number provided by the registrar to use the telephone service.
  • Online - after you have registered the death, you also have the option of using the service online. Again you will need the unique reference number provided by the registrar to access the service. The website address is www.gov.uk/tell-us-once

Confidentiality

The information you provide will be treated securely and confidentially. The organisations who are contacted will use the information to update records, end services, benefits and entitlements as appropriate, and to resolve any outstanding issues. They may use this information in other ways, but only as the law allows.

 

Information you will need to supply to use the service.

To make sure we give the right information to the organisations we contact for you, please bring the following information (where relevant) about the person who has died:

Checklist

  • Their National Insurance number and date of birth
  • Details of any central or local government benefits or services they were receiving
  • Their driving licence
  • Their Passport
  • Their Blue Badge (disabled person’s parking badge)
  • Their Library card
  • Dates of any recent stays in hospital, a hospice or care home.

We will also ask you for the contact details of

  • Their next of kin
  • A surviving husband, wife or civil partner
  • The person dealing with their estate (the executor)

You must obtain the agreement of the persons listed above if you are going to provide information about them.

If you cannot find all of the information, don’t worry – you can still use the service for the benefits/services you have information about. Do not delay making the death registration appointment.

Next of Kin

The next of kin is the closest relative by blood or marriage to the deceased (N.B. an ex-wife/ex-husband/ex-civil partner does not qualify as a ‘relative of the deceased’).

If you are not the next of kin, or the executor, you must however have obtained this person's permission to provide information about the deceased and act on their behalf.

Please remember that it is your responsibility to make sure that all organisations who paid any form of benefits to the deceased have correct and up-to-date information.
