Group information

Group participants Frequently Asked Questions

Who cooks and what is the food like?

Your school will ensure you don’t go hungry and the food they supply is enough to keep up your energy levels as well as being tasty. Some groups bring their own tuck shop for those luxury items.

Are there any phones at the Centre?

There are no public phones at the Centre but a payphone can be found in the village of Brockenhurst just 1 mile from the Centre.

Where do the teachers/group leaders stay?

They will be staying in tents or rooms nearby that are easily accessible in the event of an emergency.

Where do we wash?

The Centre has adequate toilet/shower facilities, that are sighted close to where you will be staying and the lights stay on all night. It might be good idea to bring a torch for the return journey.

What happens if I lose something?

Any items found or handed in will be kept in lost property for 2 weeks. It is always a good idea to label your clothes.

What time do we have to go to bed/get up?

Your school/group leader is responsible for specific timings, but the Centre does have quite times. This means that there should be minimum noise between 10.30pm and 7.30am in order to respect the privacy of our neighbours and other people using the site.

What happens if it rains and I get wet?

There is always the chance of rain. Firstly ensure that you have the right clothing (waterproofs). If things get really bad let your leader know and they will arrange for things to be dried.

What will I need to bring?

Your group leader will supply you with a list of things to bring with you. What you bring will depend on the length of time you are to stay at the Centre and if you are using the bunkhouse or camping.

Safety is our prime concern, which is why we adhere to the stringent guidelines set out in the County Council's Hazardous Pursuits Regulations. We train our staff beyond the minimum standards to reduce the overall risks associated with residential or non-residential experience.

There is a recognised element of risk associated with some of the activities we provide. These should be made clear to parents/guardians prior to the consent form being signed.

Our staff are available 24 hours a day for secutity and for any unforeseen emergencies. We have CCTV cameras in operation 24 hours a day and our main gate is shut overnight.

Risk Assessments and Pre-Visits

We have risk assessments for all areas of the site, and all activities both on and off site. It is a requirement, as part of the EVC’s role, that a pre-visit is made in order to write your risk assessment and familiarise yourself with our facilities. Please see our Hazard information sheet to use to support your own risk assessment.
NB This should not be used as a substitute to conducting your own pre-visit and completing your own risk assessment.

Non Hampshire County Council groups must contact their own organisations to check what their requirements are for taking groups on residential or non-residential trips.

We do not provide copies of our risk assessments. We are an approved Hampshire County Council Centre and therefore follow all of Hampshire's procedures, guidelines and are inspected. You can inspect our Risk Assessments and Operating Procedures during a pre-visit however it is not possible to provide copies.

Insurance

Hampshire County Council has insurance in place for LEA schools. Non Hampshire County Council schools must check their own insurance arrangements. It is recommended that you have insurance to cover risk of accident, illness or loss of personal possessions and cancellation.

Hampshire County Council only accepts liability for loss, damage or injury resulting from negligence by the County Council, its servants or agents. You can request a copy of our insurance certificate.

Weather

In the event of very wet or windy weather activities may have to be cancelled our curtailed. We do our best to be flexible with activities but a full programme can't be guaranteed in these circumstances. It is your responsibility to ensure you take the weather into account when making your booking and have contingency plans in place if the weather is inclement. If you decide to cancel during your stay due to the weather then you will be charged the full cost.

Every effort will be made by the Centre to ensure that your stay is as comfortable as possible and Centre staff will be on hand to offer help and advice. We also have emergency procedures in place for the rare event of extreme weather conditions.

Medical forms

All those intending to take part in activities at Tile Barn need to complete a medical form in advance of their visit. Group Leaders must ensure that these have been completed by the parents/guardians of those under 18 years and that a copy is given to Tile Barn upon arrival.

We accept your school/organisation medical form as long as it includes the same information as the Tile Barn form and has been recently completed.

Hospital information

In the unlikely event you will need medical treatment, there are several doctors and dentists in the Brockenhurst area who can be contacted.

The Lymington New Forest Hospital has an Urgent Care Centre which can cater for minor injuries and is only 4 miles away. Southampton General Hospital has a Casualty Department which can cater for all injuries.

Transport, travel and parking

It is the responsibility of the group leader to arrange transport to and from the Centre, as well for activities (where required). Please see individual activities for details.

We have two designated coach parking bays, a minibus parking area and small car parking area. When you make your booking we ask for your anticipated arrival and departure times. Please advise us if these alter, as changes can impact on other groups.

We recommend that groups use coaches and minibuses.

Please avoid parents dropping off and collecting as this causes site access problems, disturbs our neighbours and adds to the already busy traffic in the New Forest.

Our ‘How to find us’ page will help you reach us. Please ensure that these are provided to coach drivers as most of Church Lane is unsuitable for large vehicles.

Cars should be parked on the right hand-side of the driveway and minibuses in the parking area to the left of the main gate alongside the top field. Your confirmation email will confirm the number of spaces allocated to your group. Please ask any visitors to park in the correct area and sign in at Reception.

Hampshire County Council groups can arrange minibus hire through the Hampshire Transport Management. These can either be delivered to your base or directly to Tile Barn ready for your visit.

Vehicle hire companies in Southampton and surrounding area will deliver minibuses to Tile Barn for non-Hampshire County Council groups. Please contact them directly to arrange this.
