D of E Leaders – Important update

This is an important update for all Duke of Edinburgh Award Expedition Groups who use Tile Barn Outdoor Centre.

Each year Tile Barn welcomes a large number of D of E groups, from various parts of the country, of varying sizes and each with their own needs and expectations. It is therefore essential that Tile Barn has procedures and guidelines in place to ensure that all groups have a positive experience when staying at the Centre.

Having just finished a busy season, with a mix of existing and new groups staying with us, several key points have been highlighted and so we want to ensure that you, as Group Leaders, have all the information you need to plan your visits to us.

Tile Barn aims to help D of E groups as best it can, and one way we can do this is by offering a reduced cost of camping. There are various factors which enable us to reduce costs, one of which is having set arrival and departure times, arrival after 4pm and departure by 10am. These times are set to ensure the smooth transition between groups, allowing ample time between one group departing and the next arriving. This ensures space for car parking, the cleaning of showering and washing up facilities by centre staff and maintenance or repair to the site between each groups stay.

If groups or leaders need to arrive or depart outside of these times (including vehicle drop off / collection) it is essential they contact the Centre in advance to arrange this, as it is subject to availability.

If you and/or your group would like to arrive before 4pm, or depart after 10am and use the site and facilities (e.g. to pitch tents in advance, or to walk back to Tile Barn at the end of your expedition), a site use fee of £2.50 (plus VAT) per person per day will be charged.

Those wishing to park a vehicle before or after their stay (i.e. dropping off before 4pm or collecting after 10am) will be charged £2.50 (plus VAT) per vehicle per day.

Please note: all vehicles must be signed in at reception and, as above, early arrivals / late collections must be pre-arranged. If there are no groups resident the site will be unavailable until the member of staff arrives and, likewise, gates will be locked when the member of staff leaves the site, therefore any vehicles left without agreement will not be accessible.

Several D of E groups have asked to hire a Tile Barn marquee for their group to use during their stay. Whilst we appreciate that it is nice for the group to have a place to meet, especially in inclement weather, this option is subject to both the availability of a marquee and the leaders of the group having appropriate qualifications. Although a marquee can often be available for groups to move straight into, leaders need to know how to look after and secure the marquee should an issue arise, e.g. high winds, in order to protect both their group and the equipment. If you are interested in hiring a marquee for your stay please contact the Centre who will be pleased to discuss the qualification required and to advise you of the appropriate hire cost.

An increasing number of D of E groups are bringing their own gazebos or similar small marquees for their groups to use during their stay. Whilst Tile Barn is happy for this to happen, they do take up additional space on the field which could be used by other groups. Therefore, if you would like to bring your own gazebo or similar tent there will be an additional charge of £5 (plus VAT) per night. This space must be pre-booked on your booking form and is subject to availability.

Tile Barn has received a number of requests for campervans to be brought on site and slept in. It is possible for campervans to be parked in the car park and slept in overnight however, due to our very limited parking space, this must be pre-booked and is subject to availability. The cost to stay in the campervan overnight is £10 (plus VAT) per night. Please note: there are no chemical disposal, water or electric hook up points on site.

There has been some confusion over the offer extended to D of E assessors staying for free at the Centre. This offer was set up to offer support to assessors who are part of the New Forest Panel and who are assessing independently from the group. We do hope this clarifies who this offer is applicable to.

Please could we take this opportunity to remind you that Tile Barn is unable to allow dogs on site – even very well behaved ones!

Tile Barn is committed to ensuring a safe and enjoyable stay for everyone so we hope that the above information will assist you in planning your visit.
